QuickBooks CRM sync, read-only

Connect QuickBooks Online and Vrge reads your invoices and customers so the CRM matches your books. Deposits in your bank feed are then matched to those invoices. Nothing is written back: the adapter is locked to a single read endpoint of the QuickBooks API and refuses to call any other.

What Vrge reads from QuickBooks

  • Invoices, changed since the last runThe first sync reads up to a year of invoice history; after that, only invoices created or updated since the previous run. Number, customer, total, balance, currency, issue date and due date. Status is derived from the numbers, not guessed: a zero balance is paid, a past due date is overdue, anything else is sent. Voided and zero-amount records are skipped.
  • Your customer listDisplay name, company, email and phone for each customer QuickBooks returns. A customer already in Vrge is shown unticked and never duplicated; one marked inactive on the books is never pre-ticked.
  • Your company name and addressRead from the company profile on each sync and offered in Settings → Business for your own invoices. Nothing more is taken from it.
  • One endpoint, GET onlyEvery read of your books goes to the QuickBooks query endpoint and nowhere else; a request for any other data path is refused inside the app before it is sent. The only other calls concern Vrge’s own credential: renewing the token, and revoking it when you disconnect.

QuickBooks is polled on the observer’s normal schedule, never subscribed to. There is no webhook pointing at your books.

What QuickBooks turns into

No AI is involved. An invoice from your own accounting system is a provider record — number, customer, amount and status come straight from your books — so there is nothing to guess and nothing to redact. Nothing is saved until you approve it.

Duplicates stay silent. An invoice is recognised as one you already have when its number matches and the amount agrees within 5 percent, or, with no number, when amount and due date both match. A recognised invoice produces nothing unless it was just paid. Once invoices are in Vrge, deposits from Plaid, Stripe, Square or a CSV statement are matched against them by amount.

What Vrge never does with QuickBooks

  • Create, edit, or void an invoice.
  • Add or change a customer.
  • Record a payment in your books, or send anything to a customer.
  • Reach any QuickBooks data endpoint but the read query.The request helper refuses every other path before it leaves the app.
  • Push Vrge invoices into QuickBooks.Write-back is not built. It would be a separate feature with its own opt-in, and it has not shipped.
  • Save anything to Vrge on its own.Imports are proposals you approve, and an accept can be undone for 24 hours.

One honest caveat. The permission Vrge requests from Intuit is the standard accounting scope, which is broader than what Vrge uses. So the guarantee is enforced inside the app rather than by the scope: the only QuickBooks data path the adapter is permitted to call is the read query, and that check runs before every request.

Where the data goes

Sign-in passes through a Vrge relay. Your books do not.

Intuit requires an HTTPS address for the sign-in redirect and a confidential app secret to exchange the code for tokens. Neither can live inside a desktop app. So the one step that needs the secret runs on a small Vrge relay at oauth.getvrge.com: it receives the authorization code and your company id from Intuit’s redirect, swaps the code for tokens, and hands them to the app on your machine. It keeps the code for at most 10 minutes, deleted on first read, and stores no tokens.

Every read of your invoices and customers goes directly from your machine to QuickBooks. The relay is involved again only when a token needs renewing, and it stores nothing then either. No invoice, customer or amount ever passes through Vrge infrastructure.

Prefer no relay at all? Open Advanced in the connect dialog and use your own Intuit app: paste its client id, secret, refresh token and company id, and token renewal goes straight from your machine to Intuit. Nothing touches Vrge.

Disconnect asks Intuit to revoke the grant and deletes the tokens from your device. You can also revoke it from your Intuit account.

Settings → Connected Sources → QuickBooks Online → Connect QuickBooks. Intuit’s consent screen opens in your browser; approve it and the first sync reads up to a year of invoices. Self-hosters can choose Use my own Intuit app instead.
