Why it stops fitting

Where HubSpot ends up wrong for one person

None of this is a flaw in HubSpot. It is what happens when software sized for a sales organisation is run by someone who is the whole organisation.

  • It is built for a sales team.HubSpot describes Sales Hub as software to help sales teams build pipeline. Deal stages, sequences, forecasting and seat roles all assume a manager and reps. When you are both, the structure is something you maintain rather than something that helps.
  • The useful automation is in the paid tiers.The free tools include one automated action; Starter goes up to ten. Fully customizable workflows arrive at Professional, which starts at $90 per seat per month on an annual commitment, plus a required one-time onboarding fee of $1,500. The feature you wanted is usually two tiers above the one you can justify.
  • Per-seat pricing compounds.Starter is listed at $20 per seat per month, or $7 per seat per month as a new-customer promotion. The free tier is capped at two users and 1,000 contacts. Add a second person, then a contractor, and the line grows with them every month, and the step up a tier arrives with a fee attached.
  • It stays empty, because filling it is a job.HubSpot lists email tracking and activity tracking in its free tier, but the deals, stages, notes and next steps are yours to keep current, and they go stale the week you get busy. A sales team has people whose job includes that. A solo operator does it at eleven at night or not at all, and a half-filled CRM is worse than a spreadsheet because it looks authoritative.

Where HubSpot is better

  • Marketing.Email sends and forms are in HubSpot from the free tier up, and sequences from Professional. Vrge has none of them and is not going to.
  • A mobile app.HubSpot lists mobile app access in its free tier. Vrge has no mobile app.
  • Integrations.HubSpot cites over two thousand apps in its marketplace. Vrge connects to fourteen sources. If you depend on a specific integration, that settles it.
  • A free tier that stays free.HubSpot’s free CRM has no expiry for up to two users. Vrge is free for two weeks and then costs money. If free is the requirement, HubSpot wins outright.
  • A real sales team.If you have a sales manager and reps, HubSpot is built for exactly that and Vrge is not.

The checklist

What to look for instead

Seven tests. They apply to any tool, a spreadsheet included, and none of them mention Vrge.

  1. 01It fills itself from where the work already happens.Connect your email and calendar, do nothing for a week, and look at what is in it. If the answer is nothing, you have bought a form.
  2. 02You approve what goes in.Can anything write a record without you seeing it first? Anything that can will eventually write something wrong, and you will not know which record.
  3. 03The price does not scale with headcount or time.What does year three cost with two more people? If you cannot answer in one number, the price is a variable, and variables grow.
  4. 04The first useful tier is the one you can afford.Find the one feature you actually need and note which tier it sits in. That tier’s price is the real price. Ignore the entry tier.
  5. 05Your data is yours to leave with.Export everything, not just contacts, without asking anyone. Try it during the trial, not after the purchase.
  6. 06It works when the internet does not.Turn the wifi off. Can you still read and edit a client? A tool for one person on a train needs to.
  7. 07It tells you what you owe people.Who are you waiting on, and who is waiting on you, right now? If it cannot answer unless you logged it, it is a filing cabinet.

How to use it

Score any candidate against the seven. A spreadsheet passes the second, fifth and sixth honestly and fails the rest, which is why so many one-person businesses stay on one. A replacement that does not beat the spreadsheet on the other four is not a replacement.

  • No marketing automation.No campaigns, no sequences, no forms. The built-in automations are a few notices (all tasks done, a deliverable approved, a project put on hold), one rule that proposes a draft invoice when a project is marked complete and goes through the Inbox like everything else, and a sweep that marks a sent invoice overdue once its due date has passed.
  • No mobile app.Solo is a desktop app. Team mode serves a browser client from your own server that works on a phone; that is as mobile as it gets.
  • A shorter integration list.Fourteen sources, chosen because a small business already has them. Check the list before you buy rather than after.
  • It does not send email in solo mode.Team mode can email an invoice through your own server’s SMTP or Resend account. Solo cannot. Vrge reads your mail; it does not write it for you.

The move

What moving from HubSpot actually involves

Less than a migration and more than nothing. Your client list comes across in a few minutes; the rest is rebuilt from your real email, calendar and bank going forward.

  1. Export your contacts from HubSpot.Contacts, then Export at the top right, then CSV. HubSpot emails you a download link.
  2. Import them into Vrge.Settings → Data Management → Import Clients, or during setup. Vrge reads HubSpot’s own column headings (First Name, Company Name, Lifecycle Stage) so you do not reformat the file. Before it writes anything it shows how many clients are new, how many you already have and how many the file repeats. The whole import can be undone for a day.
  3. Know what does not come across.Deals, activity history, emails and attachments stay in HubSpot. The import brings clients only: names, emails, phone numbers, companies, tags and notes. Keep the CSV; it opens in any spreadsheet.
  4. Connect the sources and let it rebuild forward.From the day you connect email, calendar and bank, Vrge proposes the projects, invoices and payments it sees, and Open Loops shows which threads are waiting on someone. It does not reconstruct your HubSpot history.
  5. Run both for two weeks.The trial needs no card. Keep HubSpot open beside it and notice which one you look at.
